Terms and Conditions for Azerbaijan Travel Co.
Effective Date: March 2026
1. Acceptance of Terms
By booking a tour, service, or trip with Azerbaijan Travel Co. (“ATC”, “we”, “us”), you agree to be bound by these Terms and Conditions. Please read them carefully before making a booking. These Terms apply to both retail clients and trade/B2B partners.
2. Booking Process
A booking is considered confirmed upon receipt of a signed Booking Confirmation and the required deposit payment. Azerbaijan Travel Co. reserves the right to decline any booking at its discretion prior to confirmation.
3. Payment Terms
The following payment schedule applies to all bookings:
– Deposit: 30% of total booking value is due at confirmation.
– Balance: The remaining 70% is due 60 days before the travel start date.
– Non-refundable items: Airfare and non-refundable hotel bookings must be paid in full at the time of booking.
Accepted payment methods: major credit/debit cards, PayPal, and direct bank/wire transfer. All amounts are quoted and payable in US Dollars (USD) unless otherwise agreed in writing.
4. Cancellation Policy
All cancellations must be submitted in writing to [email protected]. The cancellation date is the date ATC receives written notice. The following schedule applies:
– 60 or more days before travel: 30% of total booking value forfeited
– 30–59 days before travel: 30% of total booking value forfeited
– 15–29 days before travel: 75% of total booking value forfeited
– Under 14 days before travel: 100% of total booking value forfeited — non-refundable
– No-show / under 72 hours: 100% of total booking value forfeited — non-refundable
Non-refundable supplier costs: Where a specific supplier (hotel, airline, activity operator, etc.) imposes its own non-refundable policy, those costs will be passed through to the client in full, regardless of the tier above.
Partial group cancellations: Where a group booking is partially cancelled, the cancellation penalty applies on a pro-rated per-person basis to those cancelling, not to the booking as a whole.
Trip interruption: If a client cancels or departs early after a trip has commenced, ATC will refund the pro-rated cost of unused services, minus any non-recoverable supplier costs already incurred.
5. Itinerary Changes
Azerbaijan Travel Co. reserves the right to make reasonable changes to the itinerary due to unforeseen circumstances, including but not limited to weather, supplier availability, or safety concerns. We will notify the client of any material changes as soon as practicable and will endeavour to provide equivalent alternative arrangements at no additional cost.
6. Force Majeure
Azerbaijan Travel Co. shall not be liable for any failure or delay in performance arising from circumstances beyond our reasonable control, including but not limited to: acts of God, natural disasters, pandemic or epidemic, war, civil unrest, political instability, government-imposed travel restrictions, strikes, or infrastructure failure.
In the event of a force majeure affecting a confirmed booking, ATC will offer one or more of the following at its discretion:
– A credit note for the full value of the booking, valid for 24 months
– Rebooking to alternative dates at no penalty
– A partial refund where supplier costs are recoverable
Cash refunds in force majeure situations are not guaranteed and are subject to supplier recovery. ATC will act in good faith to maximise any refund obtainable from suppliers on the client’s behalf.
7. Liability
Azerbaijan Travel Co. acts as a destination management company and coordinator of third-party services. We are not liable for any loss, damage, injury, or expense arising from the acts or omissions of third-party suppliers, including hotels, transportation providers, guides, or activity operators.
ATC’s total liability to any client shall not exceed the total amount paid by that client for the booking in question.
8. Dispute Resolution
In the event of a dispute arising from a booking or these Terms and Conditions, the parties agree to the following process:
– Step 1 — Good Faith Negotiation: The aggrieved party shall provide written notice of the dispute. Both parties agree to engage in good faith negotiations for a period of 30 days from the date of notice.
– Step 2 — Mediation: If the dispute is not resolved through negotiation, either party may refer the matter to a mutually agreed mediator. The costs of mediation shall be shared equally.
– Step 3 — Litigation: If mediation fails, the dispute shall be resolved through the courts of the applicable governing jurisdiction.
By mutual written agreement, trade/B2B partners based in North America may elect to conduct mediation proceedings in their home jurisdiction.
9. Governing Law
These Terms and Conditions shall be governed by and construed in accordance with the laws of the Republic of Azerbaijan, except where a mutual agreement to mediate in an alternative jurisdiction has been made as provided in Section 8.

11. Entire Agreement
These Terms and Conditions, together with the signed Booking Confirmation, constitute the entire agreement between the client and Azerbaijan Travel Co. and supersede all prior communications, proposals, or representations, whether oral or written.
12. Amendments
Azerbaijan Travel Co. reserves the right to amend these Terms and Conditions at any time. The current version will always be available at azerbaijantravelco.com/terms-and-conditions. Any booking made after an amendment takes effect will be subject to the amended Terms.
